2. Scope of this policy
This policy explains how we handle personal data when you visit https://coach-hire-amsterdam.nl, when you request a quote, and when we carry out coach hire and transport services for you. It applies to visitors of the website, to contact persons at client organisations, and to passengers travelling on journeys we arrange.
Our sister brands Coach Hire Belgium and Coach Hire Luxembourg publish their own privacy policies on their own websites.
3. What personal data we collect
3.1 Quote and contact requests
Our contact form asks for your name, email address and a message. If you write to us by email, call us, or message us on WhatsApp, we also receive the contact details and content you choose to share.
In practice a quote request usually also contains travel details: group size, dates, pick-up and drop-off points, itinerary, and the name of the organisation you represent.
3.2 Booking and delivery of transport services
When a booking is confirmed we process:
- Name, job title, email address and phone number of the contact person at the client organisation
- Details of the journey: dates, times, addresses, itinerary and group size
- The name and phone number of the on-site group leader, so drivers can reach them
- Passenger details where these are required for a specific journey. Under our general terms and conditions this can include full name, date of birth and nationality. We only ask for these when a supplier, venue, border crossing or other legal requirement makes them necessary
- Any accessibility or assistance needs you choose to tell us about, for example wheelchair access or a mobility aid on board. Information of this kind may reveal something about a person’s health. We only process it when you give us explicit permission by sharing it with us for this purpose, and only to arrange a suitable vehicle
- Correspondence about the booking, including complaints
3.3 Invoicing and payment
Invoice address, VAT number, purchase order references, payment status and bank transfer details relating to the client organisation.
3.4 Sanctions screening
Our general terms and conditions state that clients travelling from restricted sanction countries are screened before arrival, against EU sanctions lists and the lists of OFAC, BIS and DoS. Where that screening is carried out, we process the name and organisation of the client for that purpose.
3.5 Website and technical data
- Server and security logs, including your IP address, browser type and the pages requested. These are generated by our hosting environment and by the Wordfence security plugin
- Statistics on how the site is used, collected through Google Analytics 4 only after you consent to statistics cookies
- Your cookie consent choices, stored by the Complianz consent tool
Section 7 sets out which services place cookies.
4. Why we process your data, and on what legal basis
| Purpose | Legal basis (GDPR Article 6) |
|---|---|
| Answering your enquiry and preparing a quote | Steps taken at your request before entering into a contract, Art. 6(1)(b), or our legitimate interest in responding to business enquiries, Art. 6(1)(f) |
| Arranging and carrying out the transport you booked | Performance of a contract, Art. 6(1)(b). For passengers who are not our direct contracting party, our legitimate interest in delivering the agreed journey, Art. 6(1)(f) |
| Arranging suitable vehicles for accessibility needs | Your explicit consent, Art. 9(2)(a) together with Art. 6(1)(a) |
| Invoicing, payment and administration | Performance of a contract, Art. 6(1)(b), and our legal obligation to keep accounting records, Art. 6(1)(c) |
| Handling complaints and claims, and defending legal claims | Legitimate interest, Art. 6(1)(f) |
| Sanctions screening | Legal obligation, Art. 6(1)(c), and legitimate interest in lawful and safe operations, Art. 6(1)(f) |
| Keeping the website secure and available | Legitimate interest, Art. 6(1)(f) |
| Website statistics, embedded maps, embedded fonts and review widgets | Your consent, Art. 6(1)(a) |
Where we rely on legitimate interest, we have weighed our interest against your privacy. You can object to that processing at any time, see section 10.
5. Who we share your data with
We share personal data only where it is needed, and only with:
- Coach operators, drivers and other transport suppliers. To carry out a journey we pass on the itinerary and the contact details of the group leader. Where required, we pass on passenger details
